Employees

There are very few people that want to record time. Therefore, if you are choosing a time tracking solution for your company, it is very important that the system is designed specifically to make the job as easy as possible. Timeportal was designed from the ground up to make time entry fast and simple.

To record time, the employee simply:

  • logs in to the timeportal website from any computer on the Internet
  • adjusts the date if necessary
  • enters the number of hours
  • selects a client and project (or uses the default, which is the last one that was used)
  • enters a description
  • submits the form or saves it for later

The time entry form has the following functionality:

  • The Timeportal home page contains the time entry form and loads on average in about 1 second.
  • The form remembers the last company and project used, even after logging out.
  • The small day links always show the last 7 days and can be clicked to select that day.
  • If the employee leaves that page without submitting the form, the data will either be automatically saved, or if the browser does not support that feature, the employee will be warned that they will lose their information and they will be given the chance to save it.

Administration

When you implement a system like Timeportal, your admin staff save a lot of time because the timesheet data is not double-entered. This also reduces data-entry errors.

The time saved from not doing the extra data entry can be used by the admin staff to better manage the projects and time tracking. More effort can be spent reviewing employee time, making sure the correct projects and codes are being used, etc. This all leads to more accurate data.

The admin features include:

  • creating and maintaining employee accounts in Timeportal
  • creating and maintaining client companies in Timeportal
  • creating and maintaining client projects in Timeportal

Management

Traditional time sheets are normally entered directly in to the accounting system. This leads to two things normally happenning: (1) not all of the detail is captured and (2) reporting on this information is difficult at best.

Timeportal gives you several fast easy-to-use reports that provide enough flexibility to understand what is happenning with your clients, projects, and employees.

Time Report

The time report allows a manager to create a report based on a search with the following features:

  • search for time records
    • by date range AND
    • by employee (or all) AND
    • by company (or all) AND
    • by project (or all)
  • sort by any column
  • optionally include the full text descriptions
  • click on any company, project, date, or employee name in the report to automatically narrow the search
  • produces a header and footer summary with total hours

Company Report

The company report produces a nicely formatted display of all the projects for a given company (or all companies) based on a date range. This report provides a summary by project of billable, non-billable, and budgeted (optional) hours.

Employee Report

The employee report produces a nicely formatted display of all the projects for a given company (or all companies) based on a date range. This report provides a summary by project of billable, non-billable, and budgeted (optional) hours.

Active Project Report

The active project report produces a concise display of all currently non-reconciled projects in the system with a summary of total billable hours and non-billable hours.
